Report every figure an affiliate is paid on, define each one in writing, show how fresh it is, and separate what is pending from what is confirmed. Then explain every adjustment on the statement in words, not just as a negative number. An affiliate who can reconcile your report with their own records rarely raises a dispute.
This guide covers what to report, how to define it and how often to send it. Programme terms cited were read in October 2026 and change often.
What affiliates need to see
At minimum, report these per tracking link or campaign, per brand and per GEO:
- Clicks or visits
- Registrations
- FTDs
- Qualifying players for CPA deals, with pending and confirmed shown separately
- Deposits
- NGR for revenue share deals, with the deduction lines
- Commission earned, adjustments and the balance carried forward
- Payment status: due date, amount and method
The affiliate needs the breakdown by link and campaign to know which of their sources works. A single monthly total tells them what you owe, not what to do next.
Define every metric in writing
The same word means different things in different programmes. bet365 pays CPA on an "Active Customer", one who places stakes or plays with deposited funds. 888 uses "Lead" and "Money Player". LeoVegas uses "Referred Player", with a 30-day registration window and a 60-day deposit window (clause 2.3.2).
Publish a short definitions page that matches your terms exactly:

If your NGR includes an admin fee, say what it is. Only one of the eight programmes we read publishes its admin fee as a percentage: FDJ United, at 35%. Affiliates notice when a deduction line has no explanation.
Periods and cut-offs
Every programme we read pays monthly, so the calendar month is the natural statement period. State:
- The timezone your month closes in. A player who deposits just before midnight in one timezone can fall into the next month in another.
- When the statement is final. bet365 lets affiliates request payment from the second day of the following month. Others publish a payment date instead.
- When payment arrives. Published timing ranges from the tenth working day (Super Partners) to within 60 days of month end (Entain).

Freshness: say how old the data is
Affiliates make decisions on daily numbers, not monthly ones. A media buyer deciding whether to keep a campaign running needs to know today whether yesterday's traffic is converting.
Some platforms update often. SOFTSWISS says its Affilka platform supports event-triggered conversion tracking and data updates that can run every 15 minutes. Whatever your platform does, show a "last updated" time on every report and dashboard. A figure without a timestamp invites the assumption that it is current.
If you offer postbacks, list which events fire (registration, FTD, qualification, disqualification) and explain how postback counts relate to the monthly statement. They won't always match, because the statement includes later adjustments.
Pending versus confirmed
Many figures are provisional when first reported. Show them in two columns, not one.
- Pending qualification. A registration may still deposit within the window: six months at bet365, 90 days at 888 for CPA trackers, 60 days at LeoVegas.
- Pending checks. A CPA may wait on verification. 888 requires a CPA player to be "promptly verified and approved" (clause 4.3).
- Under review. 888 may withhold commission during a fraud review of up to 180 days (clause 5.19). If an amount is held, report that it is held, how much and the review's expected end date.
Affiliate view
The worst report is one where a confirmed number quietly becomes smaller. If something can still change, show us that it can, and when it will stop changing.
Adjustments explained
Every adjustment should appear as its own line with a reason category and, where possible, the affected player IDs.
Chargebacks
Super Partners deducts chargebacks in the month they are charged, and deducts an earlier CPA from future payments when a CPA customer charges back. Rank carries negatives caused by chargebacks forward until cancelled out (clause 7.5).
Fraud, bonus abuse and closed accounts
FDJ United (clause 6.7) and LeoVegas (clause 5.3.3) may withhold CPA for accounts identified as bonus abuse, suspended, closed for fraud or self-excluded. Say which category applied. Self-exclusion is not the affiliate's fault and should be labelled differently from fraud.
Attribution and duplicates
LeoVegas lists adjustments for duplicate accounts, attribution conflicts and invalid traffic among its NGR deductions. If you move a player from one affiliate to another, tell both.
Carryover
Show the opening balance, this period's result and the closing balance carried forward. If negative carryover applies across verticals, as bet365's terms allow, show each vertical so the affiliate can see where the negative came from.

Records and disputes
Operators usually make their own records the reference point. bet365's database prevails over its reports; Entain's calculations are "final and binding" (clause 9.10); 888's are "not open to review or appeal" (clause 4.6). LeoVegas allows disputes within 90 days of month end (clause 5.4.9), FDJ United within three months (clause 6.5).
If your records are final, show your working. A clear statement with a stated dispute window costs far less than a long argument by email.
Operator view
Detailed reporting also protects us. When the definitions, timestamps and reasons are already on the statement, most queries answer themselves.
